Managers plan, execute and monitor all components of a project. They usually need tools to assist them in completing and delivering the project efficiently. Companies rely on key tools in the project management process to ensure that each task is handled satisfactorily. Project management tools are a necessity in any organization. They help keep track of all the aspects of a project to ensure it is completed on time and within allocated budget. With proper management of a project, a desired outcome is produced in a timely and cost-effective manner. And a good project management tool, whether it is a desktop or web-based solution, helps to accomplish this objective. It will define the project`s tasks, costs, scope, schedules and team members.
The production and agreement of the business requirements is a substantial part of the overall project schedule and may take many iterations before it is finally approved. The project manager usually works with other departments or teams to put the document together. They will probably use Brainstorming and Interviewing techniques to help with this process and may even build a prototype
Now, you will notice that some of these tasks will be ongoing throughout the project, like managing team performance, assuring quality, and schedule control. Before each project, you should make a checklist and a list of deliverables that will keep you on track throughout your project. There will be a lot of similarities from project to project, so after the first time this will be very easy to do. You may want to schedule yourself to do some tasks weekly or monthly, depending on the task and the length of your project. Maybe you want to add in some of your own tasks, or maybe there are some that you can live without, but this is a great start to managing any project.
One of the challenges of explaining project management to people who are unfamiliar with the approach, is that descriptions are often either so high-level as to be meaningless, or so detailed that they are overwhelming. Over the years, I have come to use a model as a framework for introducing and discussing project management tools and techniques. It can be used as the basis for a five-minute explanation of what is involved in project management, but also as an outline for more detailed discussions. A project in general is divided into many phases depending on the life cycle model used for it. In general, the methodology deals with the genesis of a scheme, controlling it and termination of the plan! Where it all begins! An organization begins on a project, by getting down the objectives of the customer. The requirement gathering report should be as unambiguous as possible. You do not want to give a two-story house when the client had actually asked for two storerooms in the house! Get the deal straight! Then a mandate is provided to the client, which is an official document stating the needs of the customer, for their verification.
When it comes to choosing tools for managing a project, there are several options that are available to you. In the past several years, many tools that were in use were general purpose tools. Nowadays, software tools have been created specifically for managing projects in specific industries. In addition, these tools are available in different types such as automated tools that could be installed on local computers or on a network server where different users can access them. There are also Web-based tools and paper-based tools, which include forms, templates and checklists.
